The Office Manager acts as the central point of contact for all site administration queries and serves as the key interface between facilities management, the client, and project teams. Working closely with construction, site‑wide, and operational teams, the Office Manager ensures that all office arrangements, processes, and agreements are implemented effectively to support smooth project delivery.

Job Responsibilities

Leadership & Team Management

  • Lead and manage the site administration team, ensuring high‑quality support is consistently provided.
  • Oversee day‑to‑day office operations to ensure the construction delivery teams receive timely and effective administrative support.

Administrative Coordination

  • Support construction meetings by preparing minutes, tracking actions, and ensuring follow‑up.
  • Schedule and organise meetings, including room bookings and refreshments.
  • Collect visitors from Security and ensure safe escort to their designated work areas.
  • Deliver office area inductions for all permanent staff and visitors.

Office Operations & Logistics

  • Coordinate deliveries to the office and work areas.
  • Maintain notice boards and ensure information is current and clearly displayed.
  • Manage printing, photocopying, and document preparation as required.
  • Maintain office stationery levels and oversee outgoing post, including recording special deliveries.

Workforce & Onboarding Support

  • Assist with registering new starters on Kronos and support onboarding processes.
  • Maintain desk allocation information and submit monthly updates to the client.
  • Keep the whereabouts sheet for the site team accurate and up to date.
  • Ensure team members remain compliant with mandatory training and maintain an up‑to‑date training matrix.

Cross‑Functional Collaboration

  • Work closely with site facilities teams on office upgrades, repairs, and general maintenance.
  • Support purchasing activities, including raising purchase orders.
  • Attend workshops and training sessions to enhance administrative capability.
  • Carry out additional tasks as directed by Site Leads to support project needs.
